Contractor invoicing software

Contractor Invoicing Software That Keeps Billing Simple.

Create professional invoices without rebuilding the job from scratch. DeftBid keeps your estimate, signed proposal, change orders, and invoice connected from the first quote to the final bill.

No credit card required.

The problem

Contractor invoicing without starting over

You already did the paperwork once. Don't do it again.

By the time a job is ready to bill, you have already built the estimate, written the scope, added the labor and materials, sent the proposal, gotten it signed, and handled whatever changed along the way.

Most invoicing software for contractors treats the invoice as a brand-new document. You open a second app, type the job in again, and hope the numbers match what the customer agreed to.

DeftBid carries the job forward instead. The invoice is built from the contract your customer signed, so the numbers are the ones they already said yes to. The information is already there. Turn the work you sold into the invoice you need to send.

Estimate and invoice software for contractors

Turn an approved estimate into an invoice

Here is what actually happens in DeftBid, from the first quote to the final bill.

  1. Build the estimate

Line items from your price book or a job template, priced and totaled as you add them.

  2. Send the proposal

One link, by text or email. Your customer reads it on their phone, picks any options, and accepts and signs.

  3. The deposit invoice goes out with the signed contract

If you asked for a deposit, DeftBid issues the deposit invoice the moment the contract is countersigned and sends it in the same email as the signed copy. Amount, due date, and how to pay you, right at the top.

  4. Do the work

Extra work becomes a change order your customer signs from the link they already have. Approved changes move the balance.

  5. Invoice the balance

From the accepted bid, issue a progress invoice for any amount, or mark it as the last invoice on the job and DeftBid fills in what's remaining. Send it by text or email.

  6. Get paid, and record it

Your customer pays you directly using the payment details on the invoice. You record the payment, they get a receipt once it is paid in full, and the bid shows paid.

What the customer sees

Create professional contractor invoices

Send customers a clear bill that shows exactly what they are paying for.

Your customer opens the invoice from a link, the same way they opened the proposal. No account, no app, no attachment to hunt for. A PDF copy rides along in the email.

Every contractor invoice DeftBid sends carries:

  • Your business name, license number, and bonded and insured status
  • An invoice number, and the job and signed contract it belongs to
  • The contract amount, any approved change orders, and what this invoice is for
  • The deposit, if this is the deposit invoice
  • Tax, when your bid is itemized with tax
  • The amount due, the date it was issued, and the date it is due
  • How to pay you: check, Zelle, Venmo, Cash App, PayPal, a payment link, or your own instructions

Because the invoice is drawn from the signed contract, it cannot disagree with what the customer agreed to.

Jobs change

Keep estimates, change orders, and invoices connected

The customer adds a bathroom fan. The subfloor turns out to be rotten. Another repair becomes necessary once the wall is open.

Every change is signed
Extra work goes on the same bid as a change order, priced, and approved with its own signature. You have a record of what was agreed instead of a text thread.
Original work + approved changes = what the customer owes
Approved change orders move the balance, never the deposit that was already agreed. The final invoice shows the contract, the changes, and the total, line by line.
Nothing to reconstruct
No digging through texts, handwritten notes, or memory to remember what was approved. The invoice reads it from the signed record.

Contractor invoice app

Send invoices from the jobsite or the office

Finish the job, send the invoice from your phone, and move on. No waiting until you get home.

Phone, tablet, desktop, web

DeftBid works in your phone's browser, with native iPhone, iPad, and Android apps in beta. One subscription covers all of them.

Text it or email it

Send the invoice link straight from the bid, the same way you sent the proposal. The message is drafted for you.

Same job, every device

Issue the invoice from the truck, record the check at the kitchen table. It is one bid, tied to your account.

Contractor billing software

Keep your contractor billing organized

Know what has been billed and what still needs attention without digging through paperwork or separate apps.

Invoices live on the job
Every invoice sits on the bid it came from, with its amount, due date, and whether it is open, partly paid, past due, or paid.
Owed to you, at a glance
What you are still owed across every job shows right beside what you have won. Late invoices land on your needs-attention list.
Reminders you control
When an invoice goes past due, you hear first. The first time it happens, DeftBid shows you exactly what it would send your customer and asks once. Say yes, and it sends a polite reminder a few days later on every late invoice after that, or you send your own. One switch turns it off.
Record the payment, close the loop
Record a check, a Zelle, or any payment you took yourself, with the date and a reference. When the invoice is paid in full your customer gets a receipt, and the job shows paid.

Made for one

Contractor invoicing software built for small businesses

You shouldn't need software built for a 50-person service company just to send an estimate and get paid.

Most contractor software bundles invoicing with scheduling, dispatch, a CRM, marketing tools, and a reporting suite. If you are a one-person shop or a small crew, you pay for all of it and use a corner of it.

DeftBid does the core job and leaves the rest out: estimate, proposal, signature, change orders, invoice. Simple setup, nothing to implement, one subscription across every device. Your customer pays you directly, the way they already do. DeftBid never touches the money.

That is a feature, not a weakness. It is what keeps the app fast on a phone and the paperwork easy to keep together.

One connected system

One contractor app from estimate to invoice

One job shouldn't need five apps.

Questions

Contractor invoicing software FAQs

What is contractor invoicing software?

Contractor invoicing software creates and sends the bill for a job and keeps track of whether it was paid. The difference from a generic invoice template is the job itself: a contractor's invoice has to match a signed estimate, carry a deposit, and absorb change orders. DeftBid is contractor invoicing software that starts from the contract you already got signed, so none of that has to be retyped.

Can I turn an estimate into an invoice with DeftBid?

Yes. Once your customer signs, the estimate is a contract, and every invoice on that job is drawn from it. If you asked for a deposit, the deposit invoice is issued automatically when the contract is countersigned and goes out with the signed copy. Later, from the accepted bid, you issue a progress invoice for any amount or the final invoice for what's remaining, and send it by text or email.

Can I create invoices from my phone?

Yes. DeftBid works in your phone's browser at app.deftbid.com, and native iPhone, iPad, and Android apps are in beta. Issue the invoice and send it before you leave the driveway.

Can I include change orders on the final invoice?

Yes. Change orders your customer has signed are added to the contract amount, and the final invoice shows the original contract, the approved changes, and the total. Approved change orders move the balance you invoice; they never change the deposit that was already agreed.

Can I add deposits or payment terms to an invoice?

Yes. The deposit is your own number for each bid, as a percentage of the job or a set amount, and DeftBid never suggests one. You set it before you send the proposal, and it prints on the contract. When the contract is signed, the deposit invoice is issued for that figure with a due date. Your payment terms, written in your own words, stay on the contract, and the invoice prints the ways you accept payment.

What types of contractors can use DeftBid?

Handymen, remodelers, painters, landscapers, plumbers, electricians, HVAC contractors, roofers, and any other solo or small residential contractor who quotes their own work.
